Who we are
Eventrika (eventrika.com) is operated by T&A Software Solutions ("we", "us") from the United States. This statement covers the information we handle when you use Eventrika. When you buy a ticket, the event's organizer also receives some of your information (see Who sees it), and they handle it under their own privacy practices.
What we collect
When you buy tickets
Your first and last name and your email address. What you bought: the event, seats, add-ons, any promo or member code, and the amounts. Your tickets: their numbers, QR codes, private links and check-in times. If you transfer a ticket, the email address you send it to. You don't need an account to buy tickets. When you buy at the door from the organizer's staff or a kiosk, your name and email are optional, and the order is kept without them if you give none.
We never see or store your card number. You type it into Stripe's payment form, and we receive only the payment's status, amount and Stripe's reference for it.
If your payment goes through but your order can't be completed, for example because your connection dropped during your bank's security check, we keep a note of that payment: the amount, the event, Stripe's reference for it and the email address Stripe has for you. We use it to refund you and to tell you we did.
When you hold seats
A random ID for your browser (the eventrika.buyer cookie) and your IP address, stored with each seat hold. We use them to limit how many seats one person can hold at once, so nobody can lock up an event. We clear both from the hold 120 days after the event.
If you have an account
Organizers and their teams have accounts. We keep your name, email address, password (stored scrambled, never readable), phone number if you add one, the passkeys and authenticator app you set up for signing in, and which organizations you belong to and in what role. For an organization we also keep the details you give us, such as its name, contact email and phone, address and legal or business name, and the ID and status of its Stripe account. Bank details stay with Stripe; we never receive them.
Waitlists, member lists and invitations
If you join a waitlist, your email address. If an organizer adds you to a membership program or sends you an invitation to a private event, the name and email address they give us.
Support requests
Your name, email address and message, our replies, and any email you send back to us, including its full text. Attachments aren't kept; we record only their file names.
"Use my location"
If you choose "Use my location" on the homepage, your browser shares your location with Eventrika so we can show events nearby. We turn it into the name of the nearest town straight away and keep only that name, which appears in the page's web address. City and ZIP code searches are looked up on Eventrika's own servers and aren't sent to anyone else.
Technical information
Our servers record technical details about requests and errors, such as the page requested, the time and what went wrong, to keep the site working. Web addresses are recorded without their private codes. Error records refer to an order or an account by its reference number, not by your email address. We use your IP address to block abuse, such as too many attempts in a minute; apart from seat holds, we don't keep IP addresses in our database.
How we use it
- To run checkout, issue your tickets and check them at the door.
- To send the emails the service needs: order confirmations, tickets you ask us to resend, ticket transfers, waitlist notices, refund notices, invitations and member codes from organizers, sign-in codes, password resets, links to confirm a new email address, notices about changes to your account's sign-in (a new passkey, a sign-in email change), and replies to your support requests.
- To keep seat holds fair and to stop fraud and abuse.
- To answer your support requests.
- To keep Eventrika secure and working, and to meet our legal obligations.
We don't sell your information or use it for advertising, and we don't send marketing email.
How long we keep it
- Seat holds that don't become orders are deleted within about a minute of expiring.
- The email address kept with a payment whose order couldn't be completed is deleted as soon as that payment is settled, usually within an hour: once we've refunded it and emailed you, or once your order turns up after all. The rest of that note (the amount, the event and Stripe's reference) is kept indefinitely, like orders.
- Copies of the emails we send are kept for 90 days. Emails carrying sign-in codes, password links or email confirmation links are never copied, only noted.
- Orders, tickets and payments, together with the seat hold behind each order, are kept indefinitely. Organizers need them for their accounting, refunds and disputes, and buyers for finding their tickets again.
- The IP address and browser ID stored with a seat hold are cleared 120 days after the event. A card payment can generally be disputed for up to 120 days after the event it paid for, and until then they help us look into fraud or a disputed purchase.
- Accounts are kept indefinitely. Deactivating an account stops it signing in but keeps it, because the orders, payouts and tax records tied to it have to stay available.
- Support conversations, waitlist entries, member lists and invitations are also kept indefinitely.
Anything we keep indefinitely, you can still ask us to delete: see Your choices. If we ever start deleting any of it after a fixed time, this page will say when.
Keeping it safe
Eventrika only runs over encrypted connections. Passwords are stored scrambled, and organizer sign-ins are protected by emailed codes, passkeys or authenticator apps. Ticket and order links carry private codes, and organizers can only see their own organization's information. No system is perfectly secure, so if you find a problem, please tell us through the support form.
Your choices
If you have an account, you can change your details, download your account information, and deactivate your account from your account settings. We deactivate accounts instead of deleting them, because deleting one would make the orders, payouts and tax records tied to it unavailable. A deactivated account can't sign in, and its details and organization memberships are kept but unused. An organization whose only owner deactivates their account goes inactive too: its events stop selling and leave Eventrika's listings, while tickets already sold keep working. To use a deactivated account again, ask us through the support form.
If you bought tickets without an account, Find my tickets emails you the links to your tickets for upcoming events. To see, correct or delete any other information we hold about you, including leaving a waitlist, ask us through the support form. We'll answer within 30 days. We may need to keep records of a sale that an organizer needs for accounting, refunds or disputes.
You can ask about your information wherever you live.
Children
Eventrika isn't meant for children under 13, and we don't knowingly collect their information. Tickets are bought by adults (see our Terms and Conditions). If you think a child has given us information, tell us and we'll delete it.
Where your information is kept
Eventrika is run from the United States and our servers are in the United States. If you use it from somewhere else, your information is transferred to and handled in the US.
Changes to this statement
We'll update this statement when what we do changes, and the date at the top shows when it last changed.
